As a Supplier Document Control Specialist, you will perform supplier document processing, data entry, and records management tasks using an electronic document management system (specifically Aconex). You will maintain data integrity, update the Supplier Submittal Register, assign document numbers, and ensure proper document configuration management in support of engineering, procurement, and construction projects.

Key responsibilities include:

  • Processing supply chain documents and maintaining data integrity through well-defined procedures.
  • Creating and presenting Aconex supplier training material to suppliers, supply chain personnel, and engineering teams, both remotely and in-person.
  • Maintaining and updating the Supplier Submittal Register (SSR) form and associated workflows.
  • Performing data entry into the Electronic Document Management System (EDMS), operating standard office equipment, and producing standard reports using MS Word and Excel.
  • Interfacing routinely with project personnel to provide support, respond to questions, and handle administrative activities such as assembling, copying, distributing, scanning, and archiving documentation packages.
  • Providing general and technical support for Aconex and related software, tracking work accurately, and performing daily and weekly verifications.
  • Participating in domestic and international travel as needed to conduct software and document submittal training.

Qualifications and requirements:

  • Requires a bachelor’s degree or equivalent, or in lieu of a formal degree, a minimum of 1 year of related document control and/or records management experience.
  • Good working knowledge of computer applications, accurate typing skills, strong attention to detail, and the ability to follow written directions and organizational guidelines.
  • Good oral and written communication skills paired with effective interpersonal abilities and a customer service-oriented attitude.
  • Familiarity with scanning processes, equipment, and electronic document management systems.
  • Must be able to successfully complete a pre-employment drug screen, background check verifying employment and education, and possess the legal right to work in the United States without sponsorship.
